Frequently asked questions

Everything we're asked about the free scoping conversation, where AI fits your business, pricing, security, and why Forsa over DIY tools.

The basics

What is Forsa AI?

Forsa AI is an AI scoping and delivery service for businesses considering AI or automation. We start with a free 30-minute scoping conversation that produces a clear plan, realistic costs, and projected ROI. If you choose to proceed, we build and deliver the project end-to-end.

How does the free scoping conversation work?

You request a session via the homepage form. Once approved, you receive a private session link by email. One click on it signs you in and starts a 30-minute structured conversation with our AI scoping agent — there is no account to create and no password to choose. The conversation covers the ground that matters — challenge framing, current process, end-state goals, validation, technical context, success metrics, and estimation — in whatever order fits your situation. There is no human listening in real time.

What documents do I receive after the session?

Four documents, on your own scope page: (1) Project Scoping Summary — a one-page executive summary; (2) Client Business Case Proposal — investment case with ROI, savings, and payback projections; (3) Technical Scoping Specification — the implementation blueprint covering architecture, integrations, data, and acceptance criteria; (4) Assumptions & Caveats Log — what we assumed and where uncertainty remains. We email you a link; you sign in and they are there, including a year from now. You can download any of them as a PDF whenever you need to send one on. You own all four.

How long does a session take?

Typically 30–45 minutes of conversation. After you complete the session, the platform takes a few additional minutes to generate your four documents and email you a link to them. You can also pause and resume — sessions don't have to be completed in one sitting.

Who is Forsa AI for?

Australian finance and professional-services firms of 10–100 people with no internal development team — financial services, and professional services such as legal, accounting and recruitment. We also work with data-heavy Australian businesses more broadly, including construction and property, public sector and not-for-profits, and logistics. Typical buyers are operations leaders, founders, partners and practice managers, and finance or strategy roles. We're a fit when you have a process to improve, not when you're searching for a generic AI strategy. Personal email addresses (Gmail, Hotmail, etc.) are not accepted — we operate B2B only.

What happens after the session?

We email you a link to your scope. Sign in, review the four documents, download any you need to share with stakeholders, and decide. If you want to proceed, there's a button on that page — or reply to the delivery email, or contact [email protected] — and we'll arrange a follow-up to discuss the build. There's no automatic upsell — taking the documents and walking away is a perfectly normal outcome.

Finding your AI opportunity

Where can I use AI in my business?

The highest-value uses are rarely futuristic — they sit in repetitive, rule-based work your team already does: document processing and data entry, invoice and expense handling, customer and supplier emails, intake and onboarding, reporting and reconciliation. Exactly where depends on your processes, volumes, and systems. That's why we scope before we recommend: a free 30-minute Forsa scoping conversation maps your specific operations and returns a costed, ROI-ranked answer for your business — not a generic list.

How do I work out which AI project is worth doing first?

Rank by provable return, not novelty: quantify the hours and cost of each manual process, check the data and systems it touches, weigh delivery risk, and pick the clearest payback. Most businesses skip this step — only 9% of AI-using Australian SMEs can tie AI to profitability (NAB, 2026). Forsa's free scoping session runs that analysis with you in about 30 minutes and delivers the business case, costs, and projected ROI as documents you keep.

Can AI automate my admin work?

Almost certainly — admin is where AI automation pays back first. Invoice reconciliation, expense claims, document intake, scheduling, email triage, and report assembly are all reliably automatable today. One in five Australian SMBs spends 21–40+ hours a month on financial admin alone, and 42% say admin has cost them business opportunities (Dext, 2025). A free scoping conversation identifies which of your admin tasks are automatable, what a build would cost, and what it would save.

Pricing

What does it cost?

The scoping conversation is free — no credit card, no commitment. If you decide to proceed with implementation after reviewing your documents, that's a separate engagement scoped against your specific project. Pricing is quoted per project based on the build estimate the scoping session produces.

Why is scoping free?

Because it costs us very little to deliver and it is the clearest way to show real value up front. The session is AI-powered, so the marginal cost is tiny. Our revenue comes from building and supporting the projects clients choose to proceed with — not from the scoping itself.

What does a build cost?

The indicative build cost is delivered inside your scoping documents, so you don't need a sales call to find out. Every engagement is quoted against your specific project rather than a one-size rate card. Ongoing support, if you want it, is a monthly retainer with tiers matched to how much of day-to-day you want to own.

Why Forsa, not DIY

Do you build the project, or just scope it?

Both. Forsa is a build-and-run partner, not just a scoping tool. The scoping conversation is free; if you choose to proceed, our embedded / forward-deployed engineers build the project — AI-assisted and fast — to the specification your scoping produced, and we can keep it running with ongoing support.

Why not just use ChatGPT or Claude to scope this ourselves?

You can, and it's a fine way to explore — but generic AI gives generic advice, and it forgets you when the chat ends. Forsa's scoping is a structured discovery method that draws out what you didn't know to say, costs the project with a conservative, assumption-logged ROI engine, and delivers four documents your board and your builder can act on. It runs on a private knowledge base of your business, so every session starts smarter than the last — and it comes with someone accountable for building and running the result.

Why not use off-the-shelf AI agent tools to automate workflows ourselves?

Those tools are excellent — for teams with someone to drive them. Most of our clients have no development team, and 72% of Australian SME employers have no AI training plans (MYOB, 2026). Someone still has to scope the workflow, integrate the systems, govern the data, and maintain it next quarter. We use AI-native tools ourselves — it's why our builds cost a fraction of traditional development — but you buy the outcome and the oversight, not a licence and a learning curve.

Why custom-built AI rather than off-the-shelf software?

Your pain usually lives in your workflow — spread across the half-dozen disconnected apps a typical business runs — which is exactly where off-the-shelf tools stop. Custom used to mean expensive and doomed to go stale: AI-native delivery fixes the cost, and our continuous-improvement support fixes the staleness. Every build ships against a costed business case and is measured against it. And our discovery is vendor-neutral — when the numbers favour buying over building, your business case will say so.

What happens after my solution goes live? Does it go stale?

It isn't handed over and forgotten. Every build ships against a costed business case, and an ongoing support retainer keeps it monitored, maintained, and improving — enhancements are proposed and applied as your business changes, so the solution keeps pace instead of going stale. We're rolling out instrumentation that reports realised ROI against the business case that justified the build.

Working with Forsa

Do I have to use Forsa to build the project after the free scope?

No. The scoping documents are yours to keep — a plan, cost estimate, ROI projection, and technical brief. Most clients ask us to build because we already understand the project, but you're free to take the scope to your own team or another provider. There's no lock-in.

Can I use my own development team or agency to build what Forsa scopes?

Yes. The scope Forsa produces is implementation-ready and tool-agnostic, so your in-house developers or a delivery partner can build from it directly. If you'd rather we handle delivery and ongoing support, we can do that too — the choice is yours.

Is Forsa AI a software product or a consulting service?

Both, by design. Forsa is an AI product — a scoping tool that runs the discovery a consultant would, in a conversation — backed by a delivery team that builds and supports what it scopes. You get the speed and consistency of software with the accountability of a team that owns the outcome.

Can consultants or delivery partners use Forsa's scoping tool with their own clients?

Yes. Consultancies and delivery partners can use Forsa's scoping to run fast, structured discovery with their clients — turning weeks of workshops into a focused conversation that yields a costed, ROI-backed plan. Get in touch to discuss partner access.

Can I use the scoping tool on its own, self-serve?

Self-serve scoping is on our roadmap. Today, scoping runs as a guided conversation so the output is reliable and decision-ready — reach out and we'll get you scoping straight away.
